Vacation & Leaves

General Entitlement

  • All permanent employees are entitled to 20 official leaves per calendar year.
  • These leaves are categorize as:
    .aCasual and Sick Leaves - 10x ( 5x casual, 5x sick)
    .bAnnual Leaves - 10x
  • Annual leaves can be utilized for pro-longed sick leaves on approval
  • Leaves will be calculated for a calendar year - 01 Jan to 31 Dec
  • All leaves are calculated on the prorated basis from the joining date to 31 December

Leave Approval

  • A proper reason should be mentioned for leave
  • Following are some examples of INVALID reasons for leave:
    .aUrgent piece of work
    .bI won't be able to come to the office today
    .cIt's raining today
    .dI don't have a transport
  • Leaves (casual, sick or annual) must be applied and approved through Resourceinn
  • Approval response is REQUIRED for the employee to take leave
  • If no response is received on the leave request, then the leave is unapproved
  • The approval will be given by the designated Line Manager

Leave Planning

  • 1-2 days casual leave: approval needs to be taken at least 3 working days before the leave/s
  • 3-5 days annual leaves: approval needs to be taken 3 weeks before the leaves
  • >5 days annual leaves: approval needs to be taken 4 weeks before the leaves
  • In case of an emergency, the leave needs to be applied by 10 AM

Annual Leaves

  • All full-time, permanent employees are entitled to annual leaves on the pro-rated basis
  • Each employee is entitled to 10 working days of annual leaves
  • Annual leaves can be combined with weekends and public holidays
  • Annual leaves cannot be combined with casual or sick leaves
  • Un-availed annual leaves will not carry over to next year
  • Employees are entitled to ten (10) working days of annual leave each year on a pro-rata basis.
The annual leave quota will be accumulated at the end of the fiscal year, and any remaining balance will be carried over to the following year, to be utilized within the next 12 months; otherwise, it will expire. KhKhurram Zaman

Sick leaves

  • Sick leaves can be availed in case of illness or a medical condition
  • More than 2 sick leaves require a medical report from a certified doctor
  • Un-availed Sick leaves will not carry over to next year
  • Sick leave can be taken immediately but the employee must apply it through Resourceinn App (mobile or laptop) before 1:00 PM

Casual leaves

  • Casual leaves can be availed either in an emergency in your immediate family (your parents, spouse, kids and grandparents, only if they live in your house) or for personal work
  • More than 2 consecutive casual leaves cannot be availed at one time and if more than 2 are required then will be applied to the Annual leaves quota
  • Casual leaves need to be applied one week in advance. In case of an emergency casual leave needs to be applied by 10 AM
  • Un-availed casual leaves will not carry over to next year
  • Casual leaves cannot be combined with public holidays



Half Day Leaves

  • If late arrival is after 10:30 AM/11:30 AM and early departure is before 4:30 PM/5:30 PM for the respective shift timing, it will be counted as a half-day leave which needs to be applied through Resourceinn and will be adjusted against the leave quota.
  • Other half days in case of casual or sick scenarios will also be applied through Resourceinn.

Umrah, Hajj and Wedding Leaves

  • Leaves for Umrah, Hajj or Wedding need to be applied at least 6 weeks before the leaves.
  • Umrah, Hajj and Wedding leaves must avail the annual leave quota. Umrah, Hajj and Wedding leaves can be a maximum of 2 weeks.
  • This must include the annual leave quota of 10 working days. The remaining days will be unpaid leaves.
  • Hajj and Umrah leaves are only applicable on Hajj and Umrah visas.
  • Employees who have not completed their first year can also avail for wedding, Hajj & Umrah leaves through annual leaves quota on request.

Unpaid Leaves

  • If the leave quota is exhausted, then any approved leaves will be unpaid and must also be applied through Resourceinn.
  • Unapproved leaves will be counted as unpaid leaves.
  • The deduction amount of unpaid leaves is calculated as follows:
Amount to be deducted from salary = (salary/number of calendar days in that month) x (number of unpaid leaves)

Uninformed Leaves

  • All uninformed leaves will be counted as absent and will be deducted from salary irrespective of the availability of quota or not.
  • In case of an emergency, an employee must inform their line manager about the leave through a quick call or a text message.
  • We have zero tolerance toward uninformed leaves. It may lead to immediate termination without a notice period.

Annual Leave Encashment

All employees who are eligible to receive annual leaves and entitled to annual leave encashment at the end of the year, subject to the following conditions:
    .1Annual Leaves will only be encashed and disbursed at the year-end.
    .2Annual leaves will not be carried forward into the next year’s leave quota. Employees will receive encashment of a maximum of 10 annual leaves or remaining from the quota.
    .3Employees' effective salary on 31 Dec of the calendar year will be used to calculate the annual encashment.
    .4Employees cannot get any loans against their annual leaves.
    .5Employees will only be eligible for the leave encashment after completing the first calendar year of their employment at Kwanso.
    .6Effective from the time of putting up resignation, the leave encashment benefit will be revoked with all the other company benefits


Paternity & Maternity Leaves

  • Female employees are eligible for 3 months maternity leave, with 1 additional month of unpaid leave in case of a medical complications
  • Male employees are eligible for 3 days paternity leave, with up to 5 additional days leave that will be adjusted from the annual leaves quota, if the annual leaves are not available, the remaining days will be unpaid leaves.


Leaves During Probation Period:

  • Employees will be entitled to 2 & a half days sick leaves along with 10 unpaid leaves (to avail in an emergency) during the probation period.
